When Moving to Japan

Are there any procedures I need to complete when entering Japan?
Yes. Please complete two copies of the Unaccompanied Baggage Declaration Form either on your flight or at the airport upon arrival in Japan, and submit them to customs. Be sure to have your passport stamped for entry. When you submit the forms, customs will stamp them and return one copy to you.
Keep this copy safe, as you will need it later for import customs clearance of your Unaccompanied Baggage (items shipped separately from your personal luggage).

What documents are needed for Unaccompanied Baggage customs clearance?
Export customs requirements vary by country and region, but for Japanese import customs, you’ll need:
- 1.Unaccompanied Baggage Declaration Form (stamped by customs officer)
- 2.Passport copies: a. Photo page b. Page with Japan entry stamp (matching the date on your declaration form) c. Page with Japan departure stamp (dated over one year ago)
- 3.Copy of visa page (proving stay over one year) or equivalent documents (ID card, work permit, etc.)

Where should I submit my customs-verified Unaccompanied Baggage Declaration Form?
After Customs Inspection After clearing customs, please visit our partner counter in the airport terminal.
Submit your declaration form and passport at the counter.
Inform the staff: “Handled by Yamatane.”
The staff will copy the necessary passport pages and return your passport to you.

How do I fill out the Unaccompanied Baggage Declaration Form?
Please Refer to Our Sample Form Complete two copies and be sure to have them stamped during customs inspection. Keep these copies safe, as you will need them later for import customs clearance.
Some of our overseas offices provide these forms. If not, you can request two copies from the cabin crew on your return flight.

What’s the process after arriving in Japan?
We will handle import customs clearance using your declaration form and passport copies.
Afterward, our repatriation coordinator will contact you by phone or email to arrange delivery.
We will ensure delivery is scheduled at your convenience.

About Customs Clearance

What items are prohibited, restricted, or require special procedures for import?

I.Prohibited Items We Cannot Handle
- 1.Securities, precious metals
- 2.Dangerous goods: spray cans, gas cylinders, lighters, matches
- 3.Pornographic materials: obscene photos, films, magazines, DVDs, child pornography
- 4.Narcotics: opium, marijuana, stimulants
- 5.Intellectual property violations: counterfeit brands, pirated goods
II.Restricted Items
- 1.CITES-regulated items(endangered plants (including seeds) and animals (including products made from such plants/animals))
- 2.Hunting rifles, air guns, Japanese swords and other blades
- 3.Animals, plants, meat products, vegetables, fruits, rice, etc. requiring quarantine
- 4.Items regulated by other laws (e.g., medicines and soaps have quantity restrictions under pharmaceutical laws)

What items are subject to import duties? How much will they cost?
Alcohol, tobacco, and perfume exceeding specified quantities are taxable. Newly purchased items may also be taxed.

How do I pay import duties if they apply?
Except for large amounts, we’ll pay on your behalf and collect them upon delivery, or send an invoice for bank transfer to our designated account.

How long does delivery take?
Standard transit times from pickup to domestic delivery:

North America: 90 days

I want to bring my car back.
If you’ve lived abroad for over a year and the car is registered in your name, it qualifies for duty-free moving goods clearance (consumption tax exemption). As a condition, you cannot sell it in Japan for two years. A number of documents are required, so please consult your local repatriation coordinator in advance.

I have household items I want to dispose of in Japan. How do I arrange this and what’s the cost?
We’re not a disposal company, so we can’t handle disposal directly. Furniture and appliances (except those covered by recycling laws) over 30 cm aren’t collected by regular garbage trucks. You’ll need to contact your local waste management center, which charges fees.
Air conditioners, TVs, refrigerators/freezers, washers, and dryers fall under appliance recycling laws. Contact the store where you bought them, a nearby retailer, or your local government. All charge fees that vary by item. -
I’m not sure how to fill out the cargo insurance form. Can you help?
While we pack carefully for sea and air transport, various things can happen in transit. Unfortunately, damage sometimes occurs, so we recommend cargo insurance to cover replacement costs. For expensive items (over 100,000 yen each) or items difficult to list precisely, ask your local coordinator for specific guidance.

Will you unpack household goods?
For sea freight, unpacking is included as standard. We’ll also remove packing materials on the day. We don’t collect materials on later dates. Air freight unpacking varies by service level you contracted at origin-country agent.

Can you deliver on weekends and holidays? Can I specify delivery times?
We deliver on weekends and holidays (except New Year and the Obon holiday seasons). You can generally specify delivery times. To avoid disturbing neighbors, we aim to finish by 6 p.m.

The road to my house is narrow. I’m worried the truck won’t fit. What should I do?
Please let us know in advance if access is difficult. We’ll bring hand trucks and other equipment as needed.

What’s the procedure if items are missing or damaged?
Contact our coordinator immediately.
After verifying the facts (including photos), we’ll handle it professionally.
We’ll arrange repairs, purchase parts, or process insurance claims as needed. -
I want to bring furniture I bought and used overseas. What should I watch for?
When bringing furniture to Japan, check your new home’s dimensions and door sizes.
Overseas sofas and dining tables often won’t fit through doors. Sometimes they can’t even be craned through windows.
Check not just the room size, but also entrance, stairway, and door widths before deciding what to bring back.
